From "Draft" to "Done": The Go-Live Guide

Congratulations! You've created your content, generated audio, and polished your slides. Now comes the exciting part: getting that knowledge into the hands (and ears) of your learners.

This guide covers the final mile: ensuring quality, hitting publish, and distributing your course via Hubs.

Before you release your course to the wild, take a moment for a final quality check. In an audio-first platform, small detailsโ€”like a mispronounced word or a misaligned slideโ€”can break the immersion.

The Pre-Flight Checklistโ€‹

Use this quick checklist to ensure your course is polished and professional.

โœ… 1. The Audio "Ear Test"โ€‹

Close your eyes and listen to Module 1, Lesson 1.

  • Does it sound natural? If the pacing feels off, try adjusting the comma/period pauses in the script.
  • Is the tone right? If it sounds too stiff, switch to a "Casual" or "Friendly" voice in Voice Settings.

โœ… 2. The Visual Sync Checkโ€‹

Watch the course in LMS Mode (Slides + Audio).

  • Do slides match the words? Ensure the slide transition happens exactly when the narrator introduces the new concept.
  • Are generated images relevant? If AI picked a generic image, swap it for a specific screenshot or diagram that adds value.

Preview your Module Assessments.

  • Do questions test key takeaways? Ensure the AI didn't generate a "trivia" question about a minor detail.
  • Are answers unambiguous? If a "True/False" question feels debatable, rewrite it for clarity.

๐Ÿšฆ Understanding Course Statusโ€‹

Your course lives in one of three states. Understanding these helps you manage your production pipeline.

DRAFT

The Sandbox.
Only visible to you and Workspace Admins.

UNDER REVIEW

The Staging Area.
Signals that content is awaiting approval. Creators cannot edit while in this state.

PUBLISHED

Live!
Visible to all learners assigned to the Hub.

How to Publishโ€‹

  1. Open your course.
  2. Ensure all lessons have valid Audio and Slides (The "Publish" button will remain disabled if content is missing).
  3. Click the "Publish" button in the top right corner.
  4. Confirm the action in the modal.

Method 2: Quick Publish (Dashboard)โ€‹

If your course is already polished, you can publish directly from the Course Library:

  1. Find your course card.
  2. Click the three dots (โ‹ฎ) menu.
  3. Select Publish.
  4. The status badge will immediately flip to Published.

Once published, your course is technically "live"โ€”but keeps reading to ensure it's actually accessible to the right people.



๐ŸŒ Phase 2: Hubs & Distributionโ€‹

Publishing a course makes it "live," but Hubs determine who sees it.

What are Hubs?โ€‹

Think of a Hub as a TV Channel or a Department (e.g., "Sales Hub," "Engineering Onboarding," "Partner Academy").

  • Learners are invited to specific Hubs.
  • Courses are assigned to one or more Hubs.
  • A learner only sees courses in the Hubs they belong to.

๐Ÿ—บ๏ธ Journeys (Learning Paths)โ€‹

Before you distribute individual courses, consider if they belong in a Journey. A Journey is a structured path of multiple courses (e.g., Level 1 -> Level 2 -> Certification).

  • When to use: If you have a curriculum that needs to be taken in order.
  • How to create: Go to the "Journeys" tab in your dashboard.

Step-by-Step: Distributing Your Contentโ€‹

1. Create a Hubโ€‹

  1. Go to the Hubs tab.
  2. Click "New Hub".
  3. Customize: Upload a logo and choose a brand color. This branding will appear on the learner's dashboard.

2. Assign Contentโ€‹

  1. Open your Hub.
  2. Click "Add Content".
  3. Select the Courses or Journeys you want to feature.
  4. Requirement Level:
    • Optional: Learner can choose to take it.
    • Required: Appears in their "To Do" list with a due date.

3. Invite Learnersโ€‹

You can invite users individually or share a generic link.

  • Public Link: Great for open registrations (anyone with the link can join).
  • Email Invite: Secure method for internal teams.
  • Invite Codes (Self-Service):
    • Generate a unique 6-digit code for a Hub.
    • Share it in Slack/Teams/Email.
    • Learners enter it at topicz.app/join to instantly join the Hub.

๐Ÿ”„ Phase 3: Updates & Maintenanceโ€‹

Your course is alive. As your product or policies change, your content should evolve too.

Scenario A: Minor Fixes (The "Hotfix")โ€‹

  • Use Case: You found a typo, a slide is outdated, or you want to re-record one sentence.
  • Action: Edit the course directly.
  • Impact: Changes are instant for all future learners. Current learners will see the update the next time they load the lesson.

โš ๏ธ Caution: Avoid changing the meaning of Quiz questions in a live course. This can confuse learners who already passed the assessment based on the old information.

Scenario B: Major Overhaul (The "V2")โ€‹

  • Use Case: The entire feature has changed, or you want to restructure the modules.
  • Action: Duplicate the course.
    1. Go to Course Library.
    2. Click the three dots (โ‹ฎ) on the card.
    3. Select Duplicate.
    4. Rename it (e.g., "Sales Onboarding 2026").
    5. Make extensive changes in safety.
    6. Publish V2 and archive V1.

Archiving Contentโ€‹

To stop new learners from accessing a course without deleting old data:

  1. Unpublish: Switch the status back to Draft.
  2. Effect: It disappears from Learner Dashboards but remains in your Library and Analytics.
